We have had a successful recruitment process that I'm happy to announce that we have a new residential supervisor. Crystal, right, Elder? So Crystal has been with us for at least a year and a half, right Crystal? Yes, a year and a half. Yeah, so Crystal has been with the warehouse for a year and a half. She has extensive professional background working in residential facilities, both here as well as out of state in South Carolina. Right, Crystal? Yes, South Carolina. Right. And so she has now been promoted into a residential supervisor role. So we are super excited to have her when I met Crystal just kind of picking her brain and learning more about the program here at Aurora House and just the work that we're doing within DJJ in our region. She had some great ideas, some great insight and so I'm super excited to have her join our leadership team here at Aurora House. So I wanted you all to have an opportunity to see her face-to-face crystal work a very long shift today because as you know, with her promotion, we do have a vacancy right now for residential counselors so she's kind of doing double duty. We just almost almost to be expected when it comes to leadership. We were many different hats and at times we still have to be able to step on the floor to support our staff. But so that's why I have her joining virtually because she was already pushing 12 hours. So all this is Crystal. Crystal, this is the advisory board, the committee. I don't know if you all wanted to, Crystal, do you want to just give like a brief file of who you are in your background? Yes, I don't mind. So again, my name is Crystal. I've been with the Royal House for roughly like a year and six months prior to coming to a Royal House. I worked in DC with Catholic Charities organization called Champs, dealing with crisis management. Then prior to that, I've worked in different, like juvenile facilities and psychiatric hospitals and South Carolina as well. And now I'm here at a Royal House. And I love it. That's awesome. Yeah, it's a great. Crystal is joining us at a wonderful time. I say I have the slight bit of sarcasm, but as you can see, another bullet point is it's audit season. So we are, this is a wonderful month for Crystal by both getting fully acclimated to all the wonderful programmatic and sure if you'll need within our program. We just completed our pre-the Prison Rape Elimination Act. We finished that onsite audit last week. So we're looking forward to getting the report back on that. Crystal and I have already kind of been brainstorming about how to incorporate any updates and how it will positively impact the work that we're doing and can combine with the PREA standards. Did you say, Jess, I know what PREA is? The Prison Rape Elimination Act. So that came into effect, I believe, in early 2000s. For some reason, 2013 is coming to mind, but it may be like 2006. And the purpose of that is it originated on the federal level for the adult prisons and jails. And that's ensuring that while folks are in a confinement area, whether it's community-based, similar to juvenile justice, a group home or in a state federal prison, I'm sorry, federal prison or state, local jail. It's ensuring that everyone has the right to be safe, has the right to be able to file any type of complaint, whether it be sexual harassment, sexual assault, sexual abuse, whether it's from another inmate, someone else who's also confined to that facility, but also against staff. So it is a very rigorous process, but we have, we preliminarily, I think we've done really well. So that's what we have for Priya. And then at the end of this month, we have our state audit with the Department of Juvenile Justice, DJJ. And that audit covers a lot. All the way from, do we blow the leaves in the backyard to our kitchen appliances working, as well as, you know, what do the case files look like for the residents? And that's a three-year audit. Coming from the Department of Social Services, I'm very much used to the annual audits. So the three-year audit has been a very rigorous process. We're super thankful we were able to bring Rachel back on as a consultant and a contractor to support us in our the prep work for the audit as well as to be able to provide support assistance, whether it's training or just, you know, general client management of things, case management for their files as we move through into the next auditing period, which started the end of August. How long will they be auditing you at the store until the end in questioning, requesting data, how long for processes that for you? So the auditing period is three years, but when they're actually here reviewing the files, they'll only be here on site for one day. It is a busy day, it's action-deaf, it's actually a team of people that actually come on site. Everyone's kind of, it's dividing conquer. Some folks are tasked with reviewing case files. Others are going through the facility, looking at all of, you know, our furniture, all the furniture, other bugs and the lights, are all the lights which is working, you know, are there safety measures in place, are fire evacuation plan, all of that good stuff. So it is definitely a team effort with doing the audit and it's also a team effort in conducting the audit. And at the conclusion of the DJJ audit, we then also have another write-up that we will share. There are aspects of that are public similar to like a daycare licensing facility. If you go on to the Department of Social Services, daycare website, it identifies everyday care in a state of Virginia that is a licensed daycare and a report on when they had their site visit in similar for DJJ. When someone comes on to Aurora has to conduct the audit, they do have those reports available. And do you have to wait until the end of the three-year period to find out how the whole thing is going or are you getting medication during? Right, so the auditing period so their reviewing files from was it December 21 Yeah 2021 to August 18th of 2024 If so that is the that's a wide range but as we get closer to the auditing period they're kind of narrowing it down a little bit more So hopefully by you know the day before audit, they will send us a list of these are the clients that we're looking at. These are the employees whether current or prior employee files that we need to go through. So kind of funnels it down, makes it a little bit more tangible, but it means we still have to ensure that we have compliance in every single case and every single employee file. So, right now the primary focus is for auditing, but based on the information that we receive from those audits, if there are areas where we can utilize Rachel to come in and do a specialized training for staff, whether it's just for myself and for Crystal, or for like relief staff and residential counselors, we can then map out what that looks like and how we can utilize Rachel to address those needs. Excellent. That's great. The other items on my report, and I apologize, I'm jumping around, but I wanted to make sure I got the important piece about Crystal. So we currently have eight residents here at Aurora House. And one of the big things that just in time as we've wrapped up Halloween, we reinstated the resident snack box in Senna. So we do offer snacks as part of our meals and nutrition program here at Aurora House, but we've now allowed the residents to bring snacks and place them in their snack box. So they can kind of pull from there as well. We do offer them really nice snacks. I will not just mention like they get chabani, you know, Greek yogurt and like some mixins and stuff. So they're doing pretty good in the snack department, but occasionally they want the fun-sized, you know, crunch bar or Kit Katz. So we've implemented that again. We will be posting your snack rewards in this very hot photo video because I can't get a new outfit. And it's work for you. I've seen the fun side. Yeah, it's that. Listen, Dana set us up last week. Dana came in with a whole big box of our bag of candy at our staff meeting and I probably just demolished like seven pieces. I was like, take this away. This is stress eating. One of the things we've kind of discussed is like, She is interested in exploring community college. And one of the things we've kind of discussed is like, okay, well, what financial aid options are out there. I did tell this resident that it's important that you do complete the fast phone that you execute and exhaust all options out there before submitting an application to the board. But she is aware of it. And it is, you know, it's something that we will continue to explore with her if community college is the direction she would like to go into. But she is, you know, on-kin county public schools. Yes. Because I know you have fast, fast, fast, hard shops, especially for, you know, kids and parents, but we just have no clue even where to start, there's a language barrier. I don't know if they're doing it this time of the year for kids graduating in January, but definitely look into that because there's, I think there's just a wealth of help. And did she go to her regular high school? Or is she like at Langston or? Yes, she's at Langston. Langston Brown. So they probably have a person assigned there who will help her with that. So I'm assuming you're doing that. So I don't want to assume you're not. If she's interested in pursuing her community, you know, assuming it would be like a summertime or a whole time to start them. So we just want to have as much ample lead time to help her, even if it winds up being dual with FAFSA and just to know what's coming, just thinking about that. So probably summer or fall, possibly? Possibly summer? Yeah, possibly summer, because I think when her actual graduation date kind of already falls over into the start for the spring semester for Nova. I was going to ask about that. Yeah, and so but definitely, you know, certainly want to give you all, you know, as much time as possible to review their application and to give her the opportunity to make sure she gives a complete and thorough application. Crystal, sorry. Yes, since we're on the topic, I do have a question. A former resident recently called, she was in a program roughly a year ago and she would like to know, could she still apply for the scholarship? Yes. Yes. Who's the woman? I have a question just back to this other student. I'm not sure if she's going to be leaving a home once you graduate in January, but if she is, and there wouldn't be the opportunity for her to start school in this spring semester, do you help her to come up with some kind of plan of what to do in that empty time? If you know, it's high schools over, if you can't start classes to the summer. Yes, we've kind of talked about, you know, what, and you know, we have, every resident comes in under the short term program, but we know that it's also based on, you know, the needs of the resident and also the services that they can receive while they're here, and also services at for discharge and step down. So we are kind of talking about like, it was that look like because you know staying past January would put them well past their short term stay, but we want to ensure that they are successful when they leave us. So even if it's having a solid plan with a heavy focus on education or employment, we want to make sure that we have that in writing and we'll provide them transitional services. So it's just an additional 30 days at minimum for when they leave the program. They're back in the community making sure that they still have a connection here at Aurora House where they can reach out to us and we can provide them with that support. But I'm a firm believer of the day of your admission is also the day that we start discharge planning, that we don't need to wait and that everyone on the same page of what discharge looks like and who are their supports and both natural supports and professional supports and what the future looks like for them. Excellent. Thank you. Crystal, just going back to your note that there might be for us to do that and not that the student needs to pay, because then we don't pay back into the student themselves. So there's just, to something about the student who's interested, make sure that they take that timing like that well. And we will call a special meeting, maybe if it's not during cycle of our normal board meeting, we talked about our advisory board meeting. So I think just to clarify, when it comes to actually writing out that check for that scholarship, the payee should always be the institution in which we are funding correct. That question, for Jessica, since we're in November, I was just wondering, I know you've been busy with all that stuff, but do you guys have any drives or anything happening for Christmas for the holidays? Since I'm not, we won't meet again next month. So I don't know if you guys had any of our items off of it. Yeah, yeah. I think this is a good time without the rain after any business, but it's a good time to suffer. Yes, in terms of any drives that you have going on, but also separately, generally, we like to look at what we can do for the holidays, this little past couple of years, we've together on a gift cards for the girls or something at the holidays. So let us know if that is still of interest, but that is something that we, I know I enjoy it almost been free. But it is something that we're justly doing. And we'd be happy to again if that is something that you think you're doing some get small gifts for the girls, but gift cards would be welcome. Yeah, so we, I know in the past, and I know we currently, we still have the Amazon wish list on our website. And I think we were going to loop in the intern that we have currently working with Dana to see if they could assist us in kind of building up that wish list and really, and being able to look at things that we could give for the girls. Our senses can fluctuate. So I don't wanna say like, oh, I have wishless for the girls right now and then in three weeks it's like, oh, okay, and here, three more. So however you all have done that in the past, or you mentioned with gift cards, I know the girls always appreciate gifts, especially for our kiddos that are in foster care. They don't always have the same access to things that some of our other residents do. And even those that are not involved in the foster care system, just the financial constraints that families are experiencing, especially during the holiday season, I know that that is greatly appreciated. One of the things that I had talked to Soul about, and I think some of it had been done in previous years, so Amy, Dana, the crystal police correct me if I'm wrong, but looking at ensuring that when our girls are going back into the community for the holiday season, whether it's for Thanksgiving or for the Christmas season for winter break, we wanna ensure that we're not adding an additional stress on the families in terms of, you know, the any food restrictions, so ensuring that if we can put together a basket of food items for that the residents can take with them to be able to, you know, just contribute to the family. So it doesn't feel like too much of a hardship or a strain like we want to be able to do that. Our big goal, which we won't be able to do this year, but next year, I really would like for the girls to have an opportunity to learn how to make a specific side dish so they can then take that home and be able to make that with their family for the holiday season. So right now, half of our oven is not really working, so I can't really teach them. Maybe we'll do a fruit salad. I don't know. Do you see the there? It's plans that fix the oven? Yeah, so it's not as easy as like when you go to home depot to get like your oven from home fixed. We do have a work order and there is a process to it. We had our phenomenal Department of Public Words Abraham came and worked his magic today. You know, he came in with eyebrows in hair. He left with eyebrows in hair so I can say this. It's not anything awkward. It is working a little bit better. But the oven is definitely on its last leg at this point. So we're hoping that maybe beginning of the year we'll have a better timeline of when we'll have a new oven. Okay, that request is in, is what we're hearing? Yes. It's all right. Yeah, it's through. Okay. What is the whole definition? They're monitoring or have been monitoring our electrical use to see if they need to increase, you know, the panel. But I understand when it's commercial and you want to even we have to make sure we go through the process with finance to ensure being physically responsible and that we're hitting all the things. But if I mean that the challenges that this is my CPS brain children are removed from homes when basic needs aren't being met. Yes, exactly. So and we're not discounting the rate for residents just because some of our utilities kind of go on the fridge. No, not exactly. What's going to happen with the audit on that? You know, the will if it's not working the day of we will. It will. I don't know if it falls under a critical standard, which then puts us in front of the review board for this state. But it certainly requires us to have a corrective action plan, which then goes on to the website. And we have to. And the thing is all we can do is, Amy has done a phenomenal job trying to continue to get status updates. Hey, where are we in putting in tickets and we're documenting and soul has done a great job with documenting what we're documenting and soul has done a great job with documenting what we're seeing. But so my the resolution if the electricity is not enough is to not have the oven or to upgrade the electricity count. They look upgraded. Like I feel like maybe why not? Then why not? The oven because in the process of waiting for the oven you can update I think it's a pan-bomb of oven. I just like that. So they're they're not going to be a change in what I'm going to explain. It's too, you know, upgrading the electricity and dominion power. That's very, very, very, very, very, very, very long giving things. Yeah, they're not going to carry those eight girls that need to be fed, but can get a non-industrial oven beans in the end, like something that we might have in all of edgy like an temporary. Yeah, when you throw that out of each one, you have the same problem because there's no con kitchen. And they have gotten by in the past with just table top ovens. You know, if you make up in the Z-comput put, you have the tree of them, you could do that. But that ability is, that's not, that's not doesn't seem like a safe and alternative for week after week after week. Because this is their only way of, this is the best. I just, I just, I just, I mean, where, how can we as committee help to ask like this? What do you,? Well, just, if you have any ideas about people we could talk to or... But at some point, it kind of gets to a point of, okay, if we're going to, we're housing juveniles. And jurisdictions have ordered them to be here because being at home is no longer appropriate. It makes it a little bit it our leverage of being, say, that yes, we have everything we need to, you know, to meet their basic needs. This becomes a little bit harder. And it also puts a strain on the staff, right? Because, you know, to take four hours to heat up the lasagna on a Friday night was not ideal. And it can certainly, it caused us to have to figure things out. When the freezer went out, it caused us to have to figure things out. When the freezer went out, we kind of had to, we have a backup plan of making sure we have the coolers and we bring out the ice and, you know, put things. But then again, it's also, it's an impact to our finances because we could potentially lose some of those, those, the food because we're not able to properly store it. So, right. It's from all my mental facilities. Yeah, and two. But I was gonna let her know to watch the recap. What we do with the courting. Yeah, we've got that. So, we're courting online. So, I was gonna let her know to watch the recap for this section in particular. So, we'll let Erin notice the get to the city council. We're up to see if she can help. But is there anything that that we can do? I just appreciate the opportunity of bringing this to you all, being able to talk to you all about, you know, our preparation for the audit, anything that we may find at pain points or challenges and just being able to flag that for you all. So, you know, if something were to come up and say, hey, well, I brought everyone, everyone has been informed. People are looped in and that you aren't feeling blind side of something. Because I know Bonair down in Richmond, they just got annihilated in the press for things that they have going on in there. Now that is a true juvenile detention center, but I don't want to be in that part of the news. And I want to make sure that they're coming. Yeah, it's actually for an oven. But I know that the things have been discussed and I know that some things are very much outside of our control and maybe even outside of the control of the city because we then get to kind of being at the mercy of the manufacturers and being able to get those things brought into the house. So just you will having this for situational awareness purposes is helpful and then whatever can come of those conversations that is like, oh, we'll actually tap into this resource or having a discussion with this person and it may be the same outcome in which case that's fine. I can still be able to show that to the state saying, listen, we've exhausted all efforts to remedy this situation. Like the oven has gone well past its shelf life. You know, this is where we are with our timeline. Even if just giving a more clear timeline of when we can anticipate having oven, I think could provide a little bit of assurance, especially for the auditor in terms of when we can read this. You were talking about Thanksgiving and supporting the girls taking something home possibly. And obviously, if you can't show them how to prep a side dish, is there an opportunity for us to put together baskets or something, a little food drive, something fun for them, a little, you know, something baskets to bring home, that's kind of Thanksgiving-ish. Just thinking out loud, I know Christmas is coming, but Thanksgiving is sooner, you know. I think they would love that. An opportunity to be able to take a basket home with them. Our goal right now is to have every resident going home with family during the Thanksgiving, so the fact that they could have that longer break with family and friends and then be able to bring literally to the table. The girls take so much pride in not only receiving positive feedback and reinforcement and encouragement and congratulations from the staff, but when they see how they can help one another and they'll be able to help their family, like you can just see, you can see it on their faces. You can see it in how they present themselves. Like they feel really good about it. So I think some of them feel like I'm a burden and I'm a problem. And so for them to be able to bring something home, and celebration of being with family and Thanksgiving. I think they would love that. That would really mean a lot to them. I would say five, just sit there on the side of caution, just because in case we do have some that are kind of like on the outskirts of we may be getting a kiddo. So I would say five just to err on the side of caution. Let's put our heads together. Yeah, yeah. And you're saying this, the last thing that wasn't the case, they all are gonna be able to go spend things with family and have some ways to go. They won't be sitting in the home. Okay. The only reason that we, a kiddo would not go home for Thanksgiving would really be if it was a foster youth and they didn't have another option in terms of like going to a foster home or, or, you know, kinship provider, um, you know, or they're just they had some crazy egregious offense in which case they would probably be in JDC for that day. Last year and four I think there was this information for someone who was had such as not that we are allowed to bring them home with us. No, this train. We do have staff so like we won't be completely shut down but we will have staff that are available throughout the holiday season. And so if for some reason, I kiddos visit us cut short or it's just not an option. You know, we do make sure that we have something special for them on those days and, you know, they know the staff, it's not a new face for them. So, have some have a familiarity from something that's far away from home. And any, is the Amazon wish list on the site now? I believe so. I have looked at that again. I know that we received order to see things from the list. But was it was it the like the things that one when we created it like from the organization? If you can give me until end of day tomorrow, just to kind of explore that. Because I am trying to, I want always respected growth privacy and there's safety and security. But I know that we do want them to see that people are rooting for them and supporting them and believe in the work the progress that they're making here at Aurora House. And so she made it clear to my daughter how she knew me and she's constantly saying things to my daughter how much she enjoyed it and asking about me and telling me her to say hi and so I'm getting like. And so just like that stupid book love meant so much. And I know we talked about the last time about like, if we can reschedule, there has to be continuity to it. So I know it's a holiday isn't. So we definitely couldn't do anything till January. But I would like to start trying to find out from the girls what they would be interested in meeting, because even though the girls were very involved in the conversation, they also were very clear that they didn't love the both of them we chose for them. And so I want it to be more of something they actually want to read as well. And so I'm hoping that we could do it in January. I know usually it's a little slower of a time. It's like a everyone's kind of coming down holiday time and it's like a slower time and I want them to feel still feel like they have something to look forward to. They may not look forward to the book, but I'm hoping we get the same crime reaction that I did in the last few girls when I did go and house and from this young lady, then assures my daughter, she's doing very well. So that takes me very, very, very, very, very, very, but so I don't know what, I know you have the audit going on Jessica and Crystal, I'm not trying to add to your plates, but you know, I would have to have time to buy the books. We have to find time to put it on the calendar in January. We don't have Phil Hockey every night of the week in January. It also makes it easier for me. So yeah, that was what I wanted to bring up. I have a question on that topic because it seems like the girls are there temporarily, obviously. You mentioned eight residents on your report, but right now there's four slash five. Where are the other three? Can you tell me how that works? And then also what we anticipate in January, because we know one is graduating from high school. So it's an ebb and flow kind of thing. But can you explain that? Yes. I actually had several conversations with Dana, and actually everyone has heard me at this point. So when a lot of our residents are core order to be there, and so in order for us to remove them from the roster, we have to receive a core order that they've been discharged from our program. And so this creates a challenge for us because while we have eight residents on our roster, it means we have limited bed space. Because we have to be able to keep those beds available in case they are ordered to come back to a royal house. Some of them are on transitional services on their 30-day home pass. I think we have like one or two where we just need the core order from the clerk or from Pio, whomever, so that we can release them from our register. I once had a buddy named daughter who is not a teenager anymore. So I'd be happy to talk with you about anything you're interested in. And I'm Valerie Cludier and I was very different to the Christina and she would always talk about the war house and I had spent many years volunteering as an honest battle and said I wasn't gonna volunteer anymore and then just hearing Christina's father I just decided with this with something that called me I was looking to do something and to get involved and foster it. So that's one of the main things that I like to do because what is the important things and one of the things that the staff everybody does really well is try to think of the whole girl not just what do they need while they're in the program but also as Jessica was talking about what do they need when they go home we like to think about what do they need once they're out of the program and out of high school and thinking about what comes next.
