Where there isa Corresponding Secretary these duties devolve on him, asv wella as such others asa arep prescribed byt thet by-l laws. The by-laws shoulda always clearly define thea additional duties of the corresponding secretaryi if anya are tob bei imposed onh him. When thev word" secretary" isu used ita always refers Thes secretary should, previous to each meeting, for the use of the chairman, make out an order ofb business [65), showingi int their exact order whati is necessarily to come before the assembly. Hes should also have, ate each meeting, ali listo of alls standing committees, and suchs special committees asa arei ine existence at thet time, as wella as thet by-laws oft the organization: andi its minutes. His desk should ber near that oft the chairman, andi inthe absence oft thec chairman (ift there is nov vice president present), when the hour for openingt thes sessiona arrives, it is his duty to callt ther meetingt to order, andt top preside until the election ofa chairman prot tem., which should take placei immediately. Hes should keep ar record oft the proceedings, statingy what was done and not what was said, unlessi itist to be published, andr never making criticisms, favorable or otherwise, ona anything said or done. This record, usually called ther minutes, is kept ase explainedi int ther nexts section. Whena a committee is appointed, thes secretary should hand ther names of the committee, anda all papers referred toit it, tot the chairman oft the committee, or some other ofit itsr members. Hes shouldi indorse ont ther reports of committees the date oft their reception, andv what further action wast taken upon them, andp preservet them amongt ther records, for whichh heis responsible. Itisr not necessaryt tov vote that a report be" "placed onf file," ast thats should be done withouta a vote, excepti in organizations that habitually keep nor records exceptt their minutes andp papers ordered onf file. 60.1 The! Minutes. The record oft thep proceedings ofac deliberative assembly is usually calledt thel Minutes, ort the Record, ort the) Journal. The essentials oft ther recorda are asf follows: (a) thel kind of meeting,' "regular" (or stated) or" "special," or 'adjourned regular" or "adjourneds special"; (b)r name oft the assembly; (C) date ofr meetinga and place, wheni itis nota always thes same; (d) thef fact oft the presence oft ther regular chairman ands secretary, orin their absence ther names oft their substitutes, (e) whether ther minutes oft thep previous meetingv were approved, or their reading dispensed with, the dates oft ther meetings being given wheni itis customary too occasionally transact business at other than ther regular business meetings; (f) all the mainr motions (excepts sucha asv werey withdrawn) andp points ofc order anda appeals, whether sustained ork lost, anda allo other motions that were not lostor withdrawn; (g) and usually thet hours ofr meeting and adjournment, whent ther meetingi is solely for business. Generally the name is recorded oft ther member whoi introduced: a main motion, butr noto oft thes seconder. Ins some societies ther minutes ares signed byt thep president ina addition to thes secretary, and when published they should always bes signed by both officers. Ifr minutes arer not habitually approved att ther next meeting, thent there should be written at thee end of ther minutes thev word' "Approved" andt the date oft the approval, which should be signed byt thes secretary. They should be enteredi in good black inki inav wellbound record-book.1 tot ther recording secretary ifti there ist more thand one. The Formo of the Minutes may bea asf follows: Atan regular meeting oft thel M. L.S Society, heldi int their hall, on) Thursday evening, March: 19, 1914, the president int the chair, andI Mr. Na actinga ass secretary, the minutes oft the previous meeting were read anda approved. The Committee onA Applications reported ther names of Messrs. Cand Das applicants for membership, and onr motion of Mr Fthey were admitteda asn members. The committee on. : reported through Mr. Gas series of resolutions, which weret thoroughly discussed and amended, andf finally adopted, asf follows: Resolved, That... R..... N.... Secretary. Onr motion of Mr. L thes society adjourned at1 10PM. Ink keepingt ther minutes, much depends upon thel kind ofr meeting, andy whether the minutes aret to bep published. Int ther meetings of ordinary societies and ofb boards ofr managers andt trustees, therei is no object in reportingt the debates; the duty oft thes secretary, ins such cases, isr mainlyt tor recordv whati is' "done" by thea assembly, andr not whati is said byt ther members. Hes shoulde enter the essentials ofar record, as previously stated, andv whena a count hasb been ordered orv where thev votei ist by ballot, hes should enter ther number of votes on eachs side; and when thev votingi ist by yeas and nays hes shoulde enter al list oft the names oft those voting one eachs side. Thep proceedings oft thec committee oft they whole. orv while actinga asit ifin committee of thev whole, should not bee enteredi int the minutes, but ther report of the committee: should bee entered. Whena questioni is considered informally, the proceedings shouldt bek kept as usual, ast the onlyi informality isi in the debate. Ifar report containing resolutions has been agreedt to, ther resolutions should! bee enteredi inf fulla asf finallya adopted by the assembly, thus: The committee on. : submitteda ar reporty with a series ofr resolutions which, after discussion and amendment, were www.rulesonline.comhror-10.htm#s0 4/6 Payment Report-Income 1/16/20254 4:17:13PM Payment Date: No date entered Post Date: 9/1/2024-9/30/2024 Payment Type Permit Payment General Deposit Payment Method Check Credit Card Cash Other Permit Payment 100-4032 Building Permits 100-4032 Building Permits 100-4650 Other Revenue/GeneralFund 100-4032 Building Permits 100-4032 Building Permits 100-4032 Building Permits 100-4032 Building Permits 100-4032 Building Permits 100-4032 Building Permits 100-4032 Building Permits 100-4032 Building Permits 100-4032 Building Permits 100-4032 Building Permits 100-4032 Building Permits 100-4032 Building Permits 100-4032 Building Permits General Deposit 100-4002 FBC CAD! #8 100-4034 Other Tele.
