January 10, 2023 Meeting Minutes Invocation - Helen Nelson The meeting was called to order on January 10, 2023 at 5:00 p.m. at the Cumberland County Board of Elections board room by the Chair. Present: Helen Nelson - Chair Irene Grimes - Secretary Linda Devore - Member Billy King Member James Baker Member Angie Amaro Staff: ACTION: Member Grimes moves that the Board approve the agenda. Second: Member King Vote: Unanimous in favor Secretary Grimes presents the meeting minutes for the meetings on July 19,August 16, September 13, November 8 (two meetings), December 13, 2022 for approval. Member Devore noted that some of the corrections she had submitted had not been incorporated into the minutes. July 19, August 16, next meeting. Second: Member Baker ACTION: Member Devore moves to table consideration of the minutes for the meetings on September 13, November 8 (two meetings), December 13, 2022 until the Vote: Passed (in favor: King, Nelson, Devore, Baker/Opposed: Grimes) ACTION: Member King moves to approve the minutes for the meeting on August 30, 2022. Second: Member Baker Vote: Unanimous in favor County Attorney the City of Fayetteville's was circulated by email by County Attorney tov vote by email since time was of the essence. (Member Grimes voted to accept it). ACTION: Member King CVS 4704 as provided by County Moorefield asks that the settlement agreement pertaining to the lawsuit about petition, is incorporated into the minutes. The settlement agreement Moorefiled on December 16, 2022 with a request Baker, Chair Nelson and Secretary moves that the final release and settlement agreement of case #22 Attorney Moorefieid is incorporated into the minutes. Elections, 2023 January 10, Page1 1of2 Cumberland County Board of Second: Secretary Grimes Vote: Passed (in favor: King, Nelson, Grimes, Baker/Opposed: Devore) Director Amaro reports that 23,811 inactive voters were removed from the rolls. 9,936 no- notice mailings were sent to voters (these are voters that have not voted in the last two Federal Elections); these voters will be placed on the inactive list if they do not respond to the mailing. Voters registered with a registration date of 1/1/1900 are being updated by staff. Records from the 2020 election are being prepared for destruction (they have to be kept for 22 months). Member Devore asks which records are being destroyed; Director Amaro responds that all records are being destroyed (l.e. ballots, ATV's, results tapes, provisional ballots, Member Devore asks what the status of hiring a Deputy Director is. Director Amaro says it is challenges etc.) ongoing.
