COUNCIL CHAMBERS 12002 HWY. 6, SANTA FE, TEXAS MINUTES The meeting was calledi to order at 5:33 p.m. by Associate Chairperson John Murello. Roll Call: Present: Chairperson Rebeccal Martinez Associate Chairperson John Murello Board Member Chris Bozeman Board Member Kara Campbell Board Member Mike Winburn Board Member Nina Cederburg Board Member Peggy Fulmer Absent: The Invocation was given by Associate Chairperson Murello, whot then led those presenti in the Pledge of Allegiance toi the U.S. Flag and tot the Texas Flag. Consideration and possible action: Event details for Family Fun Fest to be held by the Park and Community Services Director Georgia Carmack gave an update on event details for the Family Fun Fest to! be held on Saturday, June 29, 2024, at Joe A. Tambrella Park, stating that the following items have been purchased or acquired: hulal hoops, sidewalk chalk, water sprinkler, water station, items for a dig station. Ms. Carmack added that Recreation Board on June 29, 2024 she ordered two swamp coolers that will be delivered the day before the event. Ms. Carmack also gave the following updates: Need at face painter Needi ideas for as scavenger hunt Al Facebook event! has been created for the event to help advertise it The event will be advertised on the Clear Channel digital billboard from June 16, 2024 to June 29, 2024 Flyers and registration forms fori the Old Smokey Cook-off and Cornhole Tournaments have been created The activity room atl Mae S. Bruce Library will be used forj judging for the Old Smokey Cook-off Neither the Old Smokey Cook-off nor the Cornhole Tournament have had any entries thus far Minutes (cont.) 6/3/2024 Page 2of3 The purchase of trophies/ribbons has been delayed until there are enough team entries Contact has not yet been made with an Old Smokey representative Cost for a 10'x1 10' spot for participating in the Old Smokey Cook-offi is $100 per team Board Member Winburn has the cornhole supplies inl his barn Cornhole Tournament cost is $10 per team and pre-registration is encouraged but not required C Officers and an ambulance have been reserved for the event E Entry tickets have been acquired Chairperson Martinez asked if a site plan had been devised, to which Ms. Carmack stated that one would be forthcoming. Chairperson Martinez added that the site plan would help with respecting the time and space oft the Pocket Market that would be taking place in Joe A. Tambrella Park att the same time as the Family Fun Fest. Chairperson Martinez pointed out that there are both water and electrical hookups att the pavilions. Ms. Carmack stated that she will be purchasing coolers and a wagon with funds from the Special Events budget for use for Park and Recreation Board events. Chairperson Martinez suggested adding additional frequently-used items, such as clipboards and pens. Brian Hayes, co-chair of the Pocket Foundation, recommended purchasing a Ms. Carmack asked for ideas for a scavenger hunt as a less messy alternative to the other activities.
